
Overview
The Yard is an indoor golf simulator facility with three bays, serving walk-in customers and recurring league players. The business needed a way to let customers self-book online, manage leagues with recurring weekly reservations, and give staff a real-time view of bay availability — all without requiring a third-party booking platform or monthly SaaS fees.
The Problem
All bookings were handled manually — phone calls, text messages, and a physical calendar. Double-bookings happened. Staff spent time every day fielding "what times are available?" calls. League scheduling across multiple weeks was especially painful, requiring someone to manually block out the same bay and time slot for 10+ consecutive weeks. There was no confirmation trail, no reminders, and no way for customers to cancel on their own. The owner also had no visibility into booking trends or upcoming capacity — just a paper calendar.
The Solution
We built the entire booking platform from scratch — custom, not a white-labeled tool. Customers pick a date, choose a duration and time slot, and see real-time bay availability. Confirmation emails go out instantly with "Add to Calendar" links for Google, Apple, and Outlook. Payment is collected at the time of booking. The league system handles the scheduling complexity automatically. Players enter a code, pick their preferred day and time, and the platform locks in the same bay for every remaining week in the season — checking for conflicts across all dates before confirming any of them. The admin dashboard gives staff a full calendar view with multiple layouts (day, week, list), manual booking tools for walk-ins, bay status management with maintenance toggles, and a full contacts list. Every morning, automated reminders go out to everyone booked that day — no manual follow-up required.
The Outcome
Scheduling phone calls dropped to near zero. Double-bookings were eliminated — the system enforces bay availability at the moment of reservation, so conflicts are impossible. Customers book and cancel on their own 24/7. League players who previously required back-and-forth coordination now self-serve in under a minute. The automated morning reminder replaced a manual confirmation call. The owner has full calendar visibility from their phone. The platform replaced the entire manual workflow with no ongoing SaaS fees.
